When writing, there are countless different forms the writing may take. No matter your career choice, at some point or another you’re going to have to do some sort of business writing, such as emailing your boss or trying to negotiate with another company. Due to how common this writing will be for most, it’s essential to become skilled in the topic. Here are a few ways to improve one’s business writing
Figure out why you’re writing: This is true is most writing but especially business writing. Oftentimes business writing needs to be something short and concise such as an email. That means you have to avoid dragging things out and try to get straight to the point of what you’re writing. Business writing is mainly for communicating so adding in a bunch of unnecessary fluff will just lead to your writing being ignored.
Tone: Even though it’s just text, there’s still a tone being interpreted by the readers when you write. Due to that, you need to make sure your tone matches with what you’re writing. If you’re writing an email to an employee saying that they did something wrong, don’t be rude or condescending, but rather simply state what they did wrong. People will be much more open to criticism and change if you are respectful towards them and clear on what they didn’t do correctly.
Non Discriminatory language: You are always writing to people while business writing, so make sure your writing isn’t discriminatory is important. That means avoiding gender-specific terms such as chairman or describing workers’ gender when it isn’t essential to the writing. This also applies to other factors such as race or ethnicity. In summary, if it’s non-essential, leave it out.
Write for the appropriate audience: You’re mainly writing to fellow adult colleagues, not English scholars and not children. Avoid unnecessary fancy language that doesn’t add much, but also make sure you’re not too simple in your terms, as people will often find this demeaning.
